Excel vs Travel Agency Software: When the Spreadsheet Stops Working
Signs a travel agency has outgrown Excel — retyped tickets, unknown dues, month-end that never balances — and what changes with proper software.

Why most agencies start in Excel
A spreadsheet is free, everyone knows it, and for the first hundred tickets it works. Columns for date, passenger, PNR, fare, cost and paid are enough.
The trouble is that a spreadsheet records what someone typed, not what happened. As the agency grows, the gap between the two becomes the main source of lost money.
Five signs you have outgrown it
You type every ticket twice — once in the GDS, once in the sheet. Nobody can say a client's exact due without opening three files. Month-end takes days and still does not match the vendor's statement. Visa files are tracked in a different sheet from the money. And only one person really understands the file.
If three of these are true, the spreadsheet is already more expensive than software.
What changes with software
Tickets arrive from the GDS by themselves, invoices and receipts go to the client's WhatsApp, and every payment updates the client's due and the books at once.
Profit per ticket, per file and per month is a report, not a weekend's work. Each staff member has a login, so you know who changed what.
Moving without losing history
Bring your clients and vendors in first with their opening balances, then start recording new sales in the system from a fixed date. Old tickets can stay in the spreadsheet as an archive.
Agency Automation BD supports opening balances and imports, and has a 14-day free trial so you can run both side by side before you switch.
Frequently asked
Is Excel enough for a small travel agency?
For a few tickets a month, often yes. Once you retype tickets daily, chase dues by phone or also process visas, software saves more than it costs.
Can I import my existing clients from Excel?
Yes. Clients, vendors and opening balances can be brought in so dues continue from where your spreadsheet left off.
